Purpose, Goal and Objectives of the
Electronic and E-mail Retention Core Team
Purpose:
The Purpose of the E-Mail Retention Team is to craft a strategy to bring the CTC agencies in compliance with new Federal rules and State laws related to E-mail Retention Processes, Policies and Technologies. The Team may also consider broader issues related to document retention.
Goal(s):
To create written recommendations to ITPG. The Recommendations Document will include:
- An Assessment of the following:
- What are other state agencies doing to assure compliance with the new Federal Rules? (DIS, Attorneys General Office, etc.)
- What are other higher educational institutions/systems doing to assure compliance with the new Federal Rules?
- What are the implications for CTC Policy and Process Improvement/Standardization?
- What potential technology tools are available to support compliance policies, processes and practices? [Includes deploying and analyzing results of an RFP and making specific Vendor recommendations for specific vendor(s).]
- Specific Recommendations as to how to bring the CTC agencies into compliance with new Federal Rules and State laws related to E-mail Retention. Recommendations will be made regarding suggested changes/improvements in:
- Policies
- Processes
- Technologies (attempt to partner with other state agencies where possible)
- Other topics uncovered during the assessment phase
